The University of North Carolina School of the arts (UNCSA) is an arts school in Winston-Salem, North Carolina. The University grants high school diplomas, undergraduate, and graduate degrees. Founded in 1963, it was the first public arts conservatory in the United States. The school consists of five professional schools: School of Dance, School of Design & Production, School of Drama, School of Filmmaking, and School of Music. The Housing department at UNCSA manages four residential communities including apartment style and single and/or double rooms. Prior to utilizing StarRez web and PortalX, the need to report and track anything accurately and timely was not possible. All room condition reports (RCR) and inspections of rooms were a manual process and paper-based meaning that it took up staff resources and was very time consuming.

Prior to StarRez

Room Condition Reports (RCRs) allow the University’s facilities teams to carry out room inspections which were conducted at move-in and move-out. They were all paper-based, carbon copies that were provided to residents and copies were stored on-site, requiring a huge amount of storage. If any damage was reported by either the student or the University at the time of move-out, it meant having to review the room condition report that was completed at move-in and comparing it with the one that was completed at move-out, resulting in a time consuming process and inability to follow up given the students had left the premises.

Migrating to StarRez PortalX meant all inventory could be assigned to rooms and health and safety inspections can be created and assigned by Resident Assistants (RAs). Emails are then sent to students to review inspections in PortalX and they can accept or decline any issues raised.

All reports are then online for both RAs and residents and accessible on mobile or tablet. Both can review results and make amends in real-time, delivering a more efficient experience for both the university and the student.
